Accounting export

Export invoices, payments and clients in CSV or Pennylane format for your accountant.

Overview

The accounting export feature (Pro plan) allows you to export your invoices, payments, and client data in a structured format compatible with accounting software like Pennylane or for direct transmission to your accountant.

Export formats

CSV format

The CSV export provides a simple, universal format that can be imported into most accounting software or spreadsheet applications. It includes:

  • Invoices: Invoice number, date, client details, line items, amounts, VAT, and payment status
  • Payments: Payment date, amount, method, and associated invoice
  • Clients: Client contact information, VAT number, and billing details

Pennylane format

The Pennylane format is specifically designed for seamless integration with Pennylane accounting software. It follows Pennylane's import structure and includes:

  • Structured invoice data with proper field mapping
  • Payment information with reconciliation references
  • Client data with VAT and billing information
  • Transaction dates and payment status tracking

How to export

  1. Navigate to the Accounting page in your dashboard (Pro plan only)
  2. Select the export format (CSV or Pennylane)
  3. Choose the date range for the export
  4. Click Generate export
  5. Download the generated file

Export history

All exports are logged in the export history, allowing you to:

  • Track when exports were generated
  • View the date range and format of each export
  • Re-download previous exports if needed
  • Maintain a complete audit trail for accounting purposes

Data included in exports

Invoice data

  • Invoice number and date
  • Client information (name, company, VAT number)
  • Invoice line items (description, quantity, unit price)
  • VAT rate and amount
  • Total amount (HT and TTC)
  • Payment status
  • Currency

Payment data

  • Payment date and amount
  • Payment method (Stripe, PayPal, etc.)
  • Associated invoice reference
  • Payment status

Client data

  • Client name and company
  • Contact information (email, phone)
  • Billing address
  • VAT number
  • Country

Best practices

  • Export regularly (monthly or quarterly) to keep your accounting up to date
  • Keep a record of export dates for reconciliation
  • Verify the exported data before sending to your accountant
  • Use the Pennylane format if you use Pennylane for accounting
  • Store export files securely for record-keeping

Limitations

  • Accounting export is available on the Pro plan only
  • Exports are limited to invoices, payments, and clients (quotes and projects are not included)
  • Date range exports are limited to a maximum of 12 months per export
